1 Introduction

The NUPRC CCR Portal is the organization's official system for creating, routing, approving, and archiving all correspondence internal memos, official letters, and uploaded documents. This guide walks you through every screen using real portal screenshots.

When you log in, this is your Home Dashboard your command center for all correspondence activity. Notice the three main tiles: My Desk, where assigned items live; Workspace, where you can choose to create a new document by starting a new memo or letter; and Search Records for retrieving anything already in the system. The counters at the top update in real time, giving you an instant view of what needs your attention today.

3 My Desk

My Desk is your personal correspondence space, distinct from the department workspace. Every item that has been assigned directly to you appears here, whether it arrived from another staff member, a department, or through an automated routing role. There are six tabs: Awaiting My Action, which is where you spend most of your time. Copied to Me lets you have a copy of the document. Tasks in Progress, for items you have acted on that are still moving through the workflow. KIV, which lets you keep the document in view. And My Drafts, for documents saved but not yet submitted.

4 Starting a Correspondence (Internal Memo)

All new official correspondence begins at the same point. Access it from the Home Dashboard by clicking Create a Document. You can choose between creating an internal memo which will pass through the commission, or a Letter, for external, official documents requiring official letterhead.

6 Starting a Correspondence (Letter)

This section lets you create a letter, an external document that moves to other organizations or departments outside the commission. The platform auto-generates a reference number for every memo you create.

7 Filling the Form Fields

The To field specifies who receives the final correspondence. The From field is pre-filled with your staff profile and should be verified. The Through field is important — it identifies any officer the document must pass through for approval before it reaches the final recipient. The Subject here must match what you entered on the previous screen. The body field is where most of your document's content will go.

8 Appendix

This allows you to add an additional memo.

9 Search Records

Access the Search Records page from the dashboard or the top navigation bar. If you know the reference number, enter it directly for an instant match. Files can also be accessed by other fields such as organization or date registered with filters — status, type. Use the filters to easily access files.

This option only gives document access to specific people who were given such access.

11 Workspace

The Workspace is your department's shared correspondence view. It is separate from your personal My Desk. It shows all correspondence flowing through your department (ICT, in this case), organized into four tabs. Access it from ICT Workspace in the left navigation. At the bottom you'll find four counters: Incoming which shows the recently received documents that you haven't worked on. Active Items, shows documents you are working on. Overdue shows items that have passed the expected time. Completed shows documents that have been finalized and completed. Copied Items displays documents that were copied to you.

12 Advanced Search Via Workspace

This allows you to easily search for any document that has gone through your department's workspace. Key filters such as reference number, subject title, organization, status, date range and originator make it easier to find or access specific files

13 Analytics

This provides insights into your workspace performance and every action taken for the year. Filters are available at the top panel to easily access and gain specific insights.

14 Support

If you encounter a technical problem or have a question the guide does not answer, the Support page is your first point of contact. Submit a Ticket creates a formal support request that is routed to support team — include as much detail as possible, including the reference number of any affected correspondence. User Guide provides the full official documentation. And FAQs cover the most frequently encountered issues. For urgent matters affecting regulatory deadlines, escalate directly to your IT Help Desk or Records Manager.
